Business Practices of the Annual AACC Convention
AACC education programs at the annual conference are learning experiences and thus are noncommercial. Under no circumstances should a preconference workshop, concurrent session, or poster session be used for direct promotion of a speaker's product, service, or other self-interest.
Limits on Number of Presenters
The number of presenters listed in a proposal should reflect the needs of the format selected. For all presentations (excluding lightning round discussions), a maximum of four individuals (including the moderator/chair, if needed) is permitted. Sessions may be led by a single presenter or as many as three presenters plus one moderator/chair, for a maximum of four people. Sessions are 60 minutes in length, and too many speakers will dilute the learning impact for audiences. Poster sessions are most effective when no more than two presenters are included.
Proposal Review (the following criteria will be used to evaluate proposals)
*Are session topic and goals appropriate to the target audience of community college administrators (chancellors, presidents, VPs, deans, etc.)?
*Is the narrative description clear and informative? Does it really tell you what will occur in the session?
*Does the session address critical or philosophical issues, present innovative or cutting-edge ideas, or present exemplary programs or best practices that can be adopted or adapted by others?
*Are the panelists appropriate? Does the panel include the major players, e.g., community collaborators, other colleges or business/industry representatives, if appropriate?
*Can the learning objectives be met in a timely and interesting way through the proposed format?
*Is time well allocated and the session well organized and designed to meet the needs of this particular audience?
*Are the presenters the ones most appropriate to conduct the session? Reviewers will use their titles and affiliations to determine this. For example, if a session is about a community-based project, one or more members of the community who work with the program should be included on the panel, if possible.
*Are Panelists Diverse? Panels with a mix of multiple colleges, organizations, partners, or presenters are encouraged, as well as single colleges with a best-practice or cutting-edge program or idea.
*For session formats that allow the use of audio-visual equipment, do the audio visuals support the presentation.
Acceptance and Rejection Notifications
Sessions submitted by the stated deadline will be reviewed in the fall, and notification will be sent to submitters by mid December. Notifications and subsequent instructions are sent to the designated key contact. The key contact is responsible for communicating information to other session presenters and for immediately informing AACC conference staff if there are any changes in his/her contact information.
Timeline for Accepted Proposals
When a proposal is accepted, the key contact and all presenters will be expected to comply with all submission deadlines for session materials. Failure to do so may jeopardize the continued inclusion of a session in the conference program.
Honoraria, Travel, and Conference Registration
Costs associated with attending the AACC Annual Convention are the responsibility of the individual speaker(s). Presenters are not provided with honoraria or registration discounts.
